3. THREE-PARTY DATA SHARING
- Our compliance platform operates on a three-party trust model connecting Service Providers, Building Owners/Customers, and Authorities Having Jurisdiction (AHJs). This means:
- AHJs may view inspection reports, deficiency status, and compliance history for properties in their jurisdiction
- Building owners/customers can view their own inspection reports, equipment status, and deficiency records
- Service providers can only access deficiency data when approved by both the customer AND the AHJThis three-party model ensures transparency and accountability while protecting your data from unauthorized access.
4. INFORMATION SHARING & DISCLOSURE
We may share your information with:
- Authorities Having Jurisdiction (AHJs): Inspection reports and deficiency notifications as required by NFPA codes and state fire codes. This is a legal obligation we cannot waive.
- Payment processors: Stripe processes all payment card data. We never store card numbers.
- Cloud service providers: Amazon Web Services (AWS) hosts our platform with AES-256 encryption at rest and TLS 1.2+ in transit.
- AI service providers: OpenAI (Whisper transcription) and Anthropic (Claude report generation) may process inspection audio and text for automated documentation.
- Communication providers: Twilio handles voice calls and SMS messages on our behalf.
- Legal compliance: We may disclose information when required by law, subpoena, court order, or government request.
We do not sell, rent, or trade your personal information to third parties for marketing purposes.
5. DATA SECURITY
- We implement industry-standard security measures to protect your information:
- AES-256 encryption at rest for all stored data
- TLS 1.2+ encryption for all data in transit
- Multi-tenant data isolation ensuring your data is completely separated from other customers
- Role-based access controls limiting data access to authorized personnel
- AWS infrastructure (the same cloud used by Netflix, NASA, and the Department of Defense)
- Audit trails logging all data access with timestamps, user identity, and IP addresses
- Bcrypt password hashing for all user accounts
6. DATA RETENTION
- We retain your information according to the following schedule:
- Inspection reports and compliance records: 7 years (aligned with NFPA record-keeping requirements and legal defensibility)
- Financial records (invoices, payments): 7 years (IRS requirements)
- Customer contact information: Duration of business relationship plus 3 years
- Audio/video inspection recordings: 3 years from date of recording
- Portal access logs: 2 years
- Deleted accounts: Data purged within 90 days of account deletion, except where legal retention requirements apply
